Moving From Excel to HR Software: A Practical Checklist

Start with one source of truth for employee records
Before touching attendance or leave history, get every employee's core details — name, role, department, contact info, joining date — into a single clean list. This is usually the messiest part of any spreadsheet setup, since different people tend to maintain different copies. Reconciling this once, upfront, saves far more time than trying to migrate three conflicting versions later.
Decide what history actually needs to move
Not every spreadsheet needs a line-by-line migration. Attendance and leave records from years ago are rarely queried again — what matters is that going forward, every clock-in, leave request and approval happens inside the new system instead of a side channel. Pick a clean cutover date and stick to it, rather than running two systems in parallel indefinitely.

The single biggest reason HR software rollouts fail is that approvals quietly move back to WhatsApp within a month. Make the new system the only place leave gets approved from the start — not a suggestion, a rule — and the rest of the team follows because that's where the actual answer lives.
